ProofHaul, LLC ("ProofHaul," "we," "us," or "our") operates the ProofHaul service, which provides operational SMS notifications and load reconciliation tools for commercial truck drivers and small carriers. This Privacy Policy explains what information we collect, how we use it, and your rights.
1. Information We Collect
Information you provide directly:
- Phone number (when you initiate contact via SMS)
- Email address (when you email rate confirmations to us)
- Rate confirmation documents and their contents, including load details, broker/carrier information, rates, pickup and delivery locations, dates, and times
- Photos and documents you submit via SMS (e.g., proof of delivery)
- Messages you send us in the course of using the service
Information collected automatically:
- SMS metadata (timestamps, delivery status, opt-in/opt-out events)
- Basic usage information related to your loads and message history
2. How We Use Your Information
We use the information we collect to:
- Provide operational SMS updates regarding loads you have requested us to track
- Generate Load Reconciliation Packets summarizing your loads
- Identify pay and proof risks in rate confirmations
- Respond to your messages and support requests
- Maintain records for dispute resolution and audit purposes
- Improve the ProofHaul service
We do not sell your personal information. We do not use your information for advertising or marketing to third parties.
3. SMS Messaging
Opt-In: You opt in to receive SMS messages from ProofHaul by texting START, sending load paperwork to our toll-free number, or texting a claim number we have provided in response to a rate confirmation you emailed to us. Your message constitutes consent to receive operational SMS/MMS messages related to the load(s) and document(s) you submit. Consent is not a condition of purchase.
Message Content: Messages are operational and transactional only. They include load creation confirmations, pickup confirmations, proof-of-delivery (POD) reminders, reconciliation packet links, and replies to your inquiries. We do not send marketing or promotional messages.
Frequency: Message frequency varies based on load activity. You may receive multiple messages per load.
Costs: Message and data rates may apply, depending on your mobile carrier and plan. ProofHaul does not charge for messages, but your carrier may.
Opt-Out: You may opt out at any time by replying STOP to any message. Reply STOP to opt out. After replying STOP, you will receive a confirmation message and no further operational messages.
Help: Reply HELP to any message for support information. Reply HELP for help, or email support@proofhaul.com.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories listed above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. How We Share Information
We share information only as necessary to operate the service:
- Service providers: We use Twilio to deliver SMS messages and MongoDB to store load and message data. These providers are bound by their own privacy and security obligations.
- Legal requirements: We may disclose information if required by law, subpoena, or to protect our legal rights.
- Business transfers: If ProofHaul is acquired or merged, information may transfer to the successor entity, subject to this Privacy Policy.
We do not sell, rent, or trade your information.
5. Data Retention
We retain load data, messages, and reconciliation packets for as long as necessary to provide the service and resolve disputes, and as required by applicable law. You may request deletion of your data by emailing support@proofhaul.com.
6. Security
We use reasonable administrative, technical, and physical safeguards to protect your information. No system is perfectly secure, and we cannot guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, or delete your personal information. To exercise these rights, email support@proofhaul.com.
8. Children
ProofHaul is intended for commercial drivers and is not directed to individuals under 18. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Privacy Policy. The "Last Updated" date will reflect the most recent version. Material changes will be communicated via the service.
