Privacy Policy
ProofHaul, LLC ("ProofHaul," "we," "us," or "our") operates the ProofHaul service, which provides operational SMS notifications and load reconciliation tools for commercial truck drivers and small carriers. This Privacy Policy explains what information we collect, how we use it, and your rights.
1. Information We Collect
Information you provide directly:
- Phone number (when you initiate contact via SMS)
- Email address (when you email rate confirmations to us)
- Rate confirmation documents and their contents, including load details, broker/carrier information, rates, pickup and delivery locations, dates, and times
- Photos and documents you submit via SMS (e.g., proof of delivery)
- Messages you send us in the course of using the service
Information collected automatically:
- SMS metadata (timestamps, delivery status, opt-in/opt-out events)
- Basic usage information related to your loads and message history
Information from optional connected fleet accounts:
- The connected provider, fleet account identifier, connection status, and authorization details
- Vehicle and assignment identifiers needed to associate an active load with the correct equipment
- Authorized location timestamps and limited operational signals during active load windows
- Derived stop-presence and event-corroboration records used in the private load record
Connecting a Samsara or Motive account is optional. ProofHaul does not request access for advertising, driver scoring, or sale of fleet data.
2. How We Use Your Information
We use the information we collect to:
- Provide operational SMS updates regarding loads you have requested us to track
- Generate Load Reconciliation Packets summarizing your loads
- Identify pay and proof risks in rate confirmations
- Corroborate pickup, delivery, and waiting events when you connect a supported fleet account
- Respond to your messages and support requests
- Maintain records for dispute resolution and audit purposes
- Improve the ProofHaul service
We do not sell your personal information. We do not use your information for advertising or marketing to third parties.
ProofHaul does not provide brokers, shippers, receivers, or other ProofHaul customers with access to your connected fleet account, a live location feed, or raw route history. If you choose to share a proof packet, it may contain event-level corroboration for the load, but not access to the underlying fleet account or a continuous route history.
3. SMS Messaging
Opt-In: You opt in to receive SMS messages from ProofHaul by texting START, sending load paperwork to our toll-free number, or texting a claim number we have provided in response to a rate confirmation you emailed to us. Your message constitutes consent to receive operational SMS/MMS messages related to the load(s) and document(s) you submit. Consent is not a condition of purchase.
Message Content: Messages are operational and transactional only. They include load creation confirmations, pickup confirmations, proof-of-delivery (POD) reminders, reconciliation packet links, and replies to your inquiries. We do not send marketing or promotional messages.
Frequency: Message frequency varies based on load activity. You may receive multiple messages per load.
Costs: Message and data rates may apply, depending on your mobile carrier and plan. ProofHaul does not charge for messages, but your carrier may.
Opt-Out: You may opt out at any time by replying STOP to any message. Reply STOP to opt out. After replying STOP, you will receive a confirmation message and no further operational messages.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories listed above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. How We Share Information
We share information only as necessary to operate the service:
- Service providers: We use providers for SMS delivery, email delivery, cloud hosting, storage, security, and data processing. They may process information only to provide those services and are subject to contractual or legal privacy and security obligations.
- Connected fleet platforms: If you connect Samsara or Motive, ProofHaul exchanges authentication and authorized fleet data with that provider to operate the connection you requested.
- Sharing you direct: You may choose to send or forward a proof packet. Anyone with an active private packet link may be able to view the event-level information and documents in that packet.
- Legal requirements: We may disclose information if required by law, subpoena, or to protect our legal rights.
- Business transfers: If ProofHaul is acquired or merged, information may transfer to the successor entity, subject to this Privacy Policy.
We do not sell, rent, or trade your information.
5. Data Retention
We retain load data, messages, and reconciliation packets for as long as necessary to provide the service and resolve disputes, and as required by applicable law. You may request deletion of your data by emailing support@proofhaul.com.
Precise fleet-location samples are retained only as long as needed to associate and derive load-event evidence, troubleshoot the connection, and meet applicable legal requirements. Derived event-level evidence may remain with the load record and a frozen packet version. Disconnecting a fleet account stops future access but does not automatically delete evidence already included in a load record; you may request deletion as described above.
6. Security
We use reasonable administrative, technical, and physical safeguards to protect your information. No system is perfectly secure, and we cannot guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, or delete your personal information. To exercise these rights, email support@proofhaul.com.
8. Children
ProofHaul is intended for commercial drivers and is not directed to individuals under 18. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Privacy Policy. The "Last Updated" date will reflect the most recent version. Material changes will be communicated via the service.
